Questions to Ask Any DFW Bartending Company Before You Book

The best booking meeting feels like an interview you are running, not a pitch you are surviving.

DFW bartending companies can look similar on a homepage. The differences show up in how they answer basic questions about licenses, insurance, staffing math, ice, and what happens if plans change. Couples who skip that interview often discover gaps when the venue asks for a certificate of insurance or when cocktail hour starts with one bartender and 140 thirsty guests. Take the list below into every call. Write the answers down. Compare them in daylight.

    Licensing, insurance, and venue paperwork

Start with the documents your venue will demand.

Ask two separate questions. Are the people pouring TABC certified? Does the company hold liquor license authority for legal service and sale? Those are not the same thing. Certification covers servers. A liquor license covers legal service and sale of alcohol. Ask what insurance they carry and whether they can name your venue as additional insured if required. Ask who submits those papers and by what deadline. Venue coordinators have seen every late COI scramble. You do not want to be the couple emailing PDFs an hour before load-in.

If you are BYOB, ask how corkage interacts with their service and whether the venue's alcohol rules change their staffing requirements. If they supply alcohol, ask how purchasing and transport work under Texas rules for your venue type. You are not studying for a law exam. You are confirming someone else already has.

Staffing, timing, and what "included" means

A quote without a staffing plan is a guess.

Ask how many bartenders they recommend for your guest count during cocktail hour. As planning math, beer and wine runs about 1 bartender per 100 guests. Full bar with spirits runs about 1 per 75. Plan roughly 1 bar per 250 guests. More than 2 bars needs a bar back or runner between stations. Ask what duties are included: setup, breakdown, ice, glassware, mixers, garnish, non-alcoholic options, and water service for the couple. Ask when load-in starts and how long setup takes. Ask who is the day-of contact when you are in photos and cannot answer vendor texts.

Listen for specifics. Soft answers usually mean you will fill the blanks yourself later.

    Cancellation, weather, and responsible service

Hard days need clear policies before they arrive. Ask cancellation and date-change terms in writing. Ask how outdoor weddings handle heat or a sudden tent move. Ask how ID checks and cutoffs work so you are not policing relatives. Also ask leftover alcohol policy and who owns unused bottles at the end of the night.

How Dynamic Buzz Bartending expects to be interviewed

Dynamic Buzz Bartending is staffed professional bartending for DFW and Texas-wide events. We welcome this checklist instead of rushing past it. We are insured, TABC certified, and hold liquor license authority for legal service and sale. We work with a hospitality group that holds multiple liquor licenses. We will keep those facts distinct when you ask.

We offer staff only, full bar, cash bar, hosted bar, and activations. Pricing stays quote-driven. Bring your venue name, guest count, and whether you want signatures or beer-and-wine. Compare how each company talks about paperwork, staffing, and day-of communication. The right fit answers plainly, puts details in writing, and is willing to talk you out of a setup that will not work for your room. We take the job seriously. We do not take ourselves too seriously once the night is rolling.

    Ask your vendor this

Use this as a scoring sheet. Equal weight on every line.

    1. Are your bartenders TABC certified, and can you document that before the event?
    2. Do you hold liquor license authority for legal service and sale, separate from server certification?
    3. What insurance do you carry, and can you meet our venue's certificate requirements?
    4. For our guest count, how many bartenders work cocktail hour, and what support roles are included?
    5. What exactly is included in the quote (ice, glassware, mixers, NA options, setup, cleanup)?
    6. Who is our day-of contact, and how do we reach them during the event?
    7. What are your cancellation, postponement, and weather or venue-change terms in writing?
    8. How do you handle ID checks and over-service without involving the couple?
    9. What is the leftover alcohol and pack-out plan?
    10. What questions should we be asking our venue so your plan and their rules match?

If a company resists written answers, treat that as an answer.

Book the team that survives the checklist

Send the same questions to every bartending company on your shortlist. Keep the notes side by side. Choose the operator whose details hold up, not the one with the glossiest adjectives. Then confirm venue paperwork early enough that cocktail hour is about guests, not PDFs. Your future self, standing in a receiving line with a glass of water already in hand, will be glad you ran the interview.
